Speed to lead: why the first five minutes decides who wins the client

2 Sept 2026 · 5 min read

Leads decay by the minute, not the day. Why response time is the cheapest conversion lever you have, and how to automate it.

What is speed to lead?

Speed to lead is the time between a prospect enquiring and your business making meaningful contact. It is one of the strongest predictors of whether an enquiry becomes a client, because interest decays fast. Someone comparing providers usually goes with the firm that responds first, not the firm that is marginally better.

Every dollar you spend on ads buys attention that starts expiring the second the form is submitted.

Why minutes beat hours

Think about how people actually enquire. They have a problem, they have carved out five minutes, and they usually contact more than one provider in that sitting. When you respond while the problem is still open on their screen, you are talking to someone in buying mode. When you respond tomorrow, you are an interruption to a person who may have already booked with whoever answered first.

This is why response time compounds so viciously with ad spend. A firm paying $150 per lead that answers enquiries the next business day is not running the same campaign as a competitor answering in two minutes. Same ads, same cost, different business results, and the reporting will never show why unless someone measures time to first contact.

The missed call is the biggest leak

For service firms, the phone is still where the highest-intent enquiries land, and the numbers are ugly: a large share of calls to small businesses ring out or hit voicemail, and most callers who reach voicemail simply do not leave a message. They dial the next result.

Missed call text-back is the single cheapest fix in lead generation. The moment a call goes unanswered, an automatic text goes to the caller: "Sorry we missed you, this is [firm], what can we help with?" It catches the person while they are still holding the phone. No staffing change, no new hires, just a system that refuses to let paid attention die on the floor.

What good looks like

The standard we build to is simple: every enquiry, from every channel, gets a response within five minutes, around the clock, without relying on a human seeing it in time.

In practice that means an instant SMS and email to every form fill, acknowledging the enquiry and opening the conversation. Missed call text-back on the main line. A booking link in the first message so hot prospects can put themselves in the calendar instead of playing phone tag. And every enquiry logged in one pipeline so nothing depends on somebody's memory or inbox discipline.

None of this replaces the human conversation. It buys the human time. The automation holds the door open until a person walks through it.

Measure it or it will drift

One number to start tracking this week: median time from enquiry to first contact, by channel. Speed is the first thing we install for a new client, before a single new ad dollar is spent, because it makes every existing channel perform better overnight. Most firms have never measured it and most are shocked. It is also the fastest metric to improve, which makes it the rare marketing fix that shows up in revenue within weeks, not quarters.

This is exactly the machinery our Lead Engine installs: instant response, missed-call recovery, booking links and one pipeline, wired under your ads so the spend actually converts.
